Learn how Max helps you speed up communication with candidates

Tezi’s AI Max is an always-on assistant for candidate communication—drafting answers to candidate questions, queueing template messages for next steps, and getting smarter with every interaction so you move faster with less effort. When agentic replies are enabled, Max can even independently manage most communication while looping you in to guide complex interactions.

Tezi never receives emails sent to you, and outside of sourcing outreach, Tezi never emails candidates on your behalf. Emails from Max are signed “Max, AI recruiter for [company]” and sent from Max’s email address ([email alias configured by you]@hey.tezi.app for 🌱 Lite users or max.tezi@hey.[company].com for all other users). For sourcing outreach, Tezi sends initial and follow-up emails (prior to candidate response) on your behalf for Lite users, and on behalf of you or your team members when configured for Starter, Business, and Pro users.

How AI-assisted replies work

By default, when a candidate replies to sourcing outreach or emails Max directly, Tezi creates a Response needed: [Candidate name] task in the Tasks tab and notifies you via Slack or email.

Open the task to read the candidate’s message and review next steps recommended by Max.

If you choose to reply:

  • Tell Max how you want it to respond. Based on this guidance, Max generates a draft.
  • Review and edit Max’s draft before sending. After you click send, Max will send the email within ~15 minutes, and you’ll see the message appear in the candidate’s Activity Feed.
  • Max learns from your inputs. After analyzing the final draft, it suggests additions to its hiring context (i.e., Max’s body of knowledge on the role) for you to confirm.
  • Over time, as Max gains hiring context, it will draft replies on its own for applicable messages, even without your explicit guidance. You can still review and edit these drafts before sending, or provide Max guidance to generate a new draft.

If you choose other next steps (e.g., advance, reject, etc.), Max will preview the related template emails (e.g., a chat screen invite), so you know exactly what the candidate will receive.

  • Note: Max only shows the next steps that it thinks are relevant to the candidate’s current stage. If next steps are not available from the message card, you can still change the candidate’s stage directly.

Agentic replies with Max

Once Max’s drafts closely align with your judgment, consider turning on agentic replies. Max will then autonomously analyze emails and execute on next steps, from answering questions, to advancing interested candidates to the next step, to coordinating interview rescheduling, and more.

If our system cannot automatically determine the appropriate response, Max reaches out to you for help via a Response needed: [Candidate name] task (see above).

You can enable agentic replies from the Additional settings section of the role setup page or by turning on the agentic replies toggle in the copilot email drafting experience.

Other emails sent by Max

To maximize speed in your recruiting process, Max independently sends a few types of emails without previewing them to you first:

  • Sourced candidates receive automated outreach emails based on your templates and instructions to Max, if outreach is configured
  • Inbound applicants that Max determines meet your search criteria receive a chat screen invitation email and follow-up emails, if chat screening is configured for inbound
  • Candidates that you advance to a human interview receive scheduling emails, if scheduling is configured
  • 💼 Starter, Pro, Business, and Enterprise users without 🔗 ATS integration: Inbound applicants to your Tezi JD receive an application thank you email
    • 🔗 Users with ATS integration: Tezi does not send an application thank you email to avoid duplicating thank you emails sent by your ATS

FAQ

Where can I see emails sent by Max?

You can review all past communication between a candidate and Max on the candidate’s Activity Feed. This is accessible from the Pipeline or from searching for the candidate using the CTRL + K / CMD + K keyboard shortcut. When agentic replies are not enabled, Max also co-drafts with you or previews to you almost all emails that it sends (see above for exceptions).

Note: Email formatting in the Activity Feed may appear inconsistent, but the emails sent to candidates render normally.
