Delegate interview scheduling to Max
Max can automate interview scheduling: it collects availability, coordinates times with candidates and your team, sends calendar invites, and manages rescheduling.
Setup
1️⃣ Define your interview plan
On your role setup page, select Interview plan.
For each interview, complete the following fields:
- Title: Provide a candidate-facing title that will be used in calendar invites, emails, etc.
- Length
- Interview format: This is the number of interviewers required for each interview
- Interviewer pool: Add at least as many interviewers to the pool as are required by the interview format
- Description: Provide a candidate-facing description that will be used in emails, Tezi’s scheduling interface, etc.
🌱 Lite: Tezi supports scheduling one 1:1 interview with you as the interviewer.
💼 Starter, Pro, Business, and Enterprise: Tezi supports multi-interviewer and multi-round interview plans.
🔗 Users with 3rd-party ATS integration: Tezi Support will configure your interview plan and accurately map Tezi interview rounds to ATS pipeline stages on your behalf. You cannot self-serve setting up an interview plan in Tezi.
2️⃣ Grant Tezi access to your and interviewers’ calendars
Tezi needs access to your and interviewers’ calendars in order to understand availability for interviews. Additionally, for 🌱 Lite users, Tezi needs access to your calendar to send invites from your account.
To grant calendar access:
🌱 Lite: Follow the prompts on the Interview plan page to connect your calendar.
💼 Starter, Pro, Business, and Enterprise: When you add yourself or someone else as an interviewer, Max automatically creates a task on the Tasks tab to authorize calendar access. If the person doesn’t already have a Tezi account, Tezi creates one, routes the task to it, and notifies them via email. Interviewers should select the task and follow the prompts to grant Tezi calendar access.
3️⃣ Go live on the role
After you’ve set up all the Tezi features you’re interested in—including but not necessarily limited to scheduling—Go live on the role. This activates Tezi’s system to start inviting candidates to schedule interviews as well as take any other automatic actions that you have configured.
Users with 3rd-party ATS integration: You cannot self-serve activating a role due to the depth and complexity of Tezi’s ATS integration. Reach out to Tezi Support to go live on your role.
Limitations
Tezi simplifies scheduling for many roles, but our system currently does not support the following:
- Interviewer availability preferences. Tezi schedules interviews within weekday business hours (i.e., 9 AM - 5 PM local for the interviewer) during any free calendar block. Interviewers with availability preferences, such as only conducting interviews during certain hours, should block unavailable times on their calendars.
- Interviewer-initiated rescheduling. Only candidates can ask Max to reschedule interviews. Interviewers who need to initiate rescheduling due to conflicts, candidate no-shows, etc. should reschedule outside Tezi, e.g., email candidates directly.
- Take-home assignments or surveys. Tezi does not send surveys or assignment prompts, or collect responses.
- Back-to-back interview scheduling. Tezi allows candidates to book at any available times and cannot enforce consecutive slots for scheduling.
- Sequencing control within an interview round. Within a single round, strict ordering like “Panel before Hiring Manager” isn’t supported.
- Caps on number of interviews per day or week.
- Required vs. rotational interviewers. Tezi treats all interviewers in a pool as rotational and doesn’t support specific attendees as mandatory.
- Any interview types other than Google Meet or Microsoft Teams meetings. Tezi doesn’t book meeting rooms, integrate with other video platforms, or schedule phone calls. Microsoft Teams is available only for 💼 Starter, Pro, Business, and Enterprise tiers.
If these features are important for your use case, you can use Tezi scheduling for only some rounds or not at all. Configure Tezi’s interview plan up through the last round that you’ll use Tezi to schedule.
Scheduling in action
When a candidate is advanced to an interview, Max emails a link to Tezi’s scheduling flow, which walks candidates through selecting a time for each interview.
If a candidate doesn’t book, Max follows up.
Once an interview time is set, Max sends a confirmation email and creates a calendar invite with:
- Sender
- 🌱 Lite: Invites are sent from your calendar
- 💼 Starter, Pro, Business, and Enterprise: Invites are sent from
max.tezi@[company].com
- Location: Google Meet or Microsoft Teams, based on your configuration
- Content: Key information (when available) like Tezi profile URL, LinkedIn URL, 3rd-party ATS profile URL, and candidate phone number to make interview prep and last-minute coordination easier
If a candidate needs to reschedule, Max handles the coordination over email and follows up if they become unresponsive.
To monitor a candidate’s scheduling status, look for Scheduling
and Scheduled
tags on their profile and in the Pipeline tab.
