How outreach is sent
Once sourcing and outreach are configured, Tezi automatically contacts candidates that have been advanced to outreach by you or by Max if you’ve enabled auto-advance. Outreach goes out Monday through Friday during hours optimized for response rates based on industry best practices.
You can review candidates that are scheduled for outreach in the Scheduled list.

🌱 Lite only: You can also see outreach that Tezi has sent on your behalf in Gmail. Search for in:sent @hey.tezi.app in Gmail.
What happens when candidates reply
When candidates reply:
- By default, Tezi creates a
Response needed: [Candidate name]task for you to review and reply to the email, with AI recommendations on how to respond and what next steps to take.
- If you have enabled agentic reply, Tezi automatically processes candidate emails and takes appropriate next steps autonomously—whether that's answering common questions, escalating complex emails to you, or advancing interested candidates to the next step.
For candidates that respond with interest, the next step can be either inviting the candidate to a chat screen or advancing them to a human interview, depending on how you configured the role. Learn more about possible candidate flows.
🌱 Lite users only: Because outreach is sent from your Gmail, candidate replies may land in your inbox. Please do not reply in Gmail. Instead:
- If agentic replies are off, use the
Response needed: [Candidate name]task to draft your reply and manage next steps with Max. This ensures Max stays in the loop and can be a more effective partner.
- If agentic replies are on, Max automatically analyzes the email and takes appropriate next steps, including replying. Do not respond separately to prevent duplicative emails.
Also, to avoid crossed wires in the future, please set up Gmail filters so candidate replies skip your inbox.
